UCAS’s head office based in Cheltenham, Gloucestershire, required updated technology systems for use in existing meeting rooms throughout the building.
They wanted click share presentation technology to be available in all meeting rooms in order to present and collaborate on ideas quickly and effectively from multiple locations. After a robust tendering process, CDEC were chosen to provide the upgrades.
The Evoko system has enabled all members of staff to immediately see the availability of the meeting rooms and to be able to book them instantly using the touch screen. This provides a much more user friendly system than was being used previously and any issues can quickly be resolved by the IT team.
The Barco ClickShare system has been utilised for a range of engagements, from internal meetings and external board groups to training sessions and remote meetings. The ability for anyone, internal or external, to wirelessly share their presentations and information to a screen via a one touch app has enhanced
engagement and interactivity.
The installation of the SMART Kapp whiteboard system has improved interactivity and involvement, particularly when meetings are being held remotely. The ability to save and share notes as they unfold and then review them after the meeting has
encouraged collaboration and new ideas.
Initially, interactivity with the conference suite was an issue but we used our experience to quickly create a resolution. A power failure to the conference suite also caused a delay, but we were again quickly able to respond and restore service.
The installation of the Evoko units was the most challenging part of the refurbishment, although this was based on issues with UCAS’s Networking and access points. We worked through various different options out to see what would be the most effective solution and since we have completed the install, the units have been up and running with no issues.
There were initial challenges regarding the power over Ethernet but due to their advanced specification, the Evoko units can be run over PoE. UCAS has a PoE switch in many of their hub rooms so we were able to install cable injections and power them directly.
